Users & roles
Add users, assign roles, and manage permissions across your team.
SimpleAct supports multiple users per workspace with different roles. This lets you divide responsibilities clearly: admins manage, editors work, viewers observe.
Adding a user – step by step
- 1Open "Users & Roles" in the left navigation
- 2Click "Invite user"
- 3Enter the email address
- 4Select a role: Admin, Editor, or Viewer
- 5Optionally enable audit permission
- 6Click "Invite" – the user receives an invitation email
- 7Once the user accepts the invitation, they appear in the user list
Changing a role
- 1Open the user list
- 2Find the user in the list
- 3Click "Edit"
- 4Select the new role
- 5Save – the change takes effect immediately
Roles and their permissions
Admin
- ✓Full access to all modules
- ✓Add, edit, and remove users
- ✓Governance: set evidence to APPROVED, finalize workflows
- ✓Manage settings and enterprise options
- ✓Set up 2FA
- ✓View audit log
Editor
- ✓AI Inventory: create and edit systems
- ✓Run risk assessments
- ✓Edit compliance checklists
- ✓Maintain documentation (Annex IV, controls, incidents)
- ✓Governance: create and submit evidence (not approve)
- ✓Invite users (but not assign roles)
- ✓No access to settings or audit log
Viewer
- ✓Read dashboard and all reports
- ✓View AI inventory
- ✓See compliance status
- ✓No editing, inviting, or export
Audit permission
In addition to their role, a user can be granted audit permission. This allows access to the audit log and audit playbook. Typically admins and external compliance owners receive this permission.
Governance admin pool
The governance module has a separate admin pool. Only admins in the admin pool can approve governance evidence (APPROVED) and set workflows to FINAL. The admin pool is automatically populated from all workspace admins.
